Hot Desking User Guide

๐Ÿ“Œ Quick Reference: How to Assume Ownership or Release an Anchor Device

This is a quick reference guide to understand the two primary methods for a floating user to assume ownership of (Hot Desk IN) or release ownership of (Hot Desk OUT) an anchor device.

Method 1: Using Star Codes

  1. Pick up the hot desk anchor phone you want to take over and dial the configured star code to activate the device: *44 (and Send or Dial).

  2. The device will prompt the user to "please enter your account number". Enter your extension number.

  3. The device will then prompt the user to "please enter your password followed by the pound key". Enter your voicemail password.

  4. The device will prompt for the user to confirm the device owner (for example, "press 2 to confirm user xxxx is the device owner").

  5. After confirming the prompt, the hot desk phone will activate. The user can then hang up. The device will now accept inbound calls to that user, and outbound calls will show the user's caller ID.

  6. The device will continue to display the device's extension and not the hot-desking user's extension. This is expected behavior.

  7. Caller ID will display the user's extension (or DID) and not the device's.

  8. When you are done for the day, you can leave and the hot desk session will be released when the next user activates the device, or (preferably) use the configured star code *45 to release the device. The device will prompt for the user's voicemail password and then will issue a "thank you" before disconnecting and releasing the user from the device. The hot desk device will return ownership to the anchor user.

Method 2: Using the Portal

Login to https://ucportal.pressone.net with your username and password.

  1. Click the "Activate Phone" button on the right side under the Phones tab in My Account.

  1. Type in the extension of the hot desk device that the user wants to use and click "Call". (The extension will be displayed on the anchor phone device.)

  2. Pick up the ringing hot desk device, and enter your extension and voicemail password when prompted. The phone will now be activated for your user.

  3. To release the device, the user would click the red X button across from the device in the Portal:
